TENT SPECIFICATIONS:
Tent must be: White, high quality, weighted and secured. If you don't own a tent, you can rent one from the festival as no outside rentals are allowed. All orders must be paid for in advance on Zapplication.org.

TEXAS SALES TAX AND PERMIT:
All artists are required by Texas State Law to declare their tax receipts for sales generated at the festival. Applications for Texas Sales Tax Permit are available at Artist Relations. The sales tax rate collected in The Woodlands is 8.25%.

SECURITY & ACCESS
Around the clock security begins Wednesday before the festival, and ends the following Monday @ noon. Artists will be allowed onto the festival site 24 hours for accessing your property. An officer will check driver's license and artist's pass. You will be asked to sign in and out with the date/time. An Artist Relations Representative will be with the officers during the evening hours until 7a.m. during check in. This is to ensure that all artists are in their proper places.

Thursday, April 8-- 7:00am – 8:00 pm Artists loading in on Thursday will have up to TWO HOURS to unload their booth and move their vehicle from the pathway.

Friday, April 9--7:00am - 9:00pm. Artists loading in on Friday will have NO MORE THAN 45 MINUTES to unload their booths and move their vehicles from the pathway.

This is a one-way traffic flow, so artists will be sequenced by booth number to allow for the most expedient traffic flow. Vehicles are not allowed on the grass. They must stay on the pathway. The pathway is 22’ wide with a maximum height of 12'6" so clearance in front of the booths is narrow. No large RVs, box trucks or large trailers are allowed onto the pathway.

Booths are to be secured with WEIGHTS ONLY as no staking is allowed. Booth awnings are not to be raised until Saturday morning to facilitate traffic flow. The Festival takes no responsibility for damage to booths or artwork should an awning be left up and become damaged. Festival also reserves the right to lower awnings should the artist "accidentally forget."

There are golf carts available through Artist Relations to assist in moving artwork from remote parking lots into the festival grounds.

**VEHICLES ARE NOT ALLOWED ON THE PATHWAYS FROM 8:00AM SATURDAY MORNING UNTIL 6:30PM SUNDAY EVENING. NO EXCEPTIONS!

Don't forget to turn in your artist surveys. This helps us to make improvements and your feedback is very important.

The Best of Show Artist Awards will be presented on the Waterway Square stage on Saturday evening at 7:30.

ARTIST RELIEF AVAILABLE THOUGHOUT EVENT OPERATING TIME
          Teams of Artist Relief in special aprons will circulate each artist area serving water and/or snacks.  At your request they will booth sit for you as you take a break or need to take art for a patron. Please call in plenty of time for your requests. SNACKS, WATER AND DOWN TIME FOR YOU ARE IN THE ARTIST RELATIONS TENT. STOP BY AND SAY HELLO.

Artist Load out options:

To get out quickly on Sunday evening

For booths 200 and higher AND BOOTHS ZERO TO 99
Artists will break down booth in place and have everything ready to load into their vehicle. A volunteer will then provide the Artist with a "LOAD OUT" ticket. The Artist will bring their vehicle AND TICKET to library parking lot off Grogan's Mill Road for sequencing into the festival area. Once at your booth, the Artist will have approximately 30 minutes to load and be ready to go.

IF THE ARTIST IS NOT LOADED AND BLOCKING THE ROADWAY, YOU WILL BE REQUIRED TO PULL AROUND AND GET IN LINE AGAIN.

Caravans of Artists are expected to leave the library parking lot for the festival rounds approximately every 45 minutes beginning around 6:45pm

For booths 100 – 199 (Town Green Park booths)

Artist will be allowed to park in library lot AFTER the Festival closes on Saturday evening. Those Artists with trailers should utilize a pull-through spot with the load up end of the trailer facing AWAY from the library. Once festival closes, Artist can dolly out to parking lot at their convenience.

If leaving leisurely on Sunday night or Monday morning:

FIRST LOWER YOUR AWNING, then close your tent and go to dinner and relax somewhere. Come back to the library parking lot around 9:30 or so and enter library parking lot from Grogan's Mill. You will then be sequenced into the festival site.

In 2009, last caravan in was 10:15pm and there was plenty of room to park beside tents and no time limits on loading up.

Monday morning has no restrictions or assistance for load out.

GOLF CART RULES
All golf carts are checked out through Artist Relations and are free of charge. Please remember, others are waiting for carts, so please return carts as quickly as possible.

  • Please do not leave the golf carts sitting unused while you are setting up. There are many artists needing the carts and we have a limited number. For load out, box all of your supplies first, and then come get the golf cart.
  • A driver's license will be required for check out of the carts. They will be kept in individual envelopes with your name on it and kept in a secure place.
  • Artists "sharing use" must turn in golf cart within one hour.
  • All golf carts will be numbered and assigned.

PATRON ART PICKUP-GATE #2—Top of Town Green Park
Secured art pick up is available for artists and patrons to leave large pieces of works until the patron is ready to leave. Artists Please Note: Purchasers name must accompany each piece of art. Please notify Artist Relations if you need someone to pick up the art and take it to Gate 2.

PARKING OPTIONS
Free Artist parking available in the Green lot off Timberloch Drive. Overnight RV/trailer parking is available at the north end of the Green lot where designated. Marriott Waterway parking is free for artists staying at the hotel. There is limited RV parking for artists who are staying at the Marriott. The Town Center garage and gold lot at the Pavilion has parking for $5 per day.

IT'S PRETTY – KEEP IT CLEAN!
To maintain the beauty of the pathway, please place cardboard or plastic under a potentially "leaky" vehicle. If a spill should take place, please notify us and our cleaning crew will take care of it.
